Configure your SchoolTenant — the workspace that holds your school's students, staff, and records. Most schools only do this once.

The Settings page is organised into four tabs: General (school context and profile), Academic (study year, departments and classes), Policies (operational policies) and Parent Portal. The Policies and Parent Portal tabs unlock once a study year has been initiated.

Before you start

  • You're the founding admin or hold the Admin role on an existing school.
  • You have the basics handy: school name, contact email, logo file, and a rough list of departments and class levels.

Steps

  1. Go to Dashboard → Settings.

  2. On the General tab, in the School Context card, confirm you're configuring the correct school. If you manage more than one, switch using the picker.

  3. Still on the General tab, in the School Profile card, click Edit. Fill in:

    • Name — appears on invoices, reports, and the sign-in page.
    • Contact — phone, email, address.
    • Logo — upload a PNG or JPG (square works best). Click Save Changes and the card returns to read-only.
  4. On the Academic tab, in Departments & Classes, click Edit to add departments (e.g. Nursery, Primary, O-Level, A-Level) and the class levels under each (e.g. Baby, P1, S1, S5). Nursery (Baby, Middle, Top) is always a single academic department. O-Level (S1–S4) and A-Level (S5–S6) are separate because they sit different national exams. Click Save Changes.

    • When Primary is selected during school creation, tick Use UNEB curriculum template to pre-load the core primary subjects (English, Mathematics, Science, Social Studies) and the PLE 1–9 grading scale. You can edit everything afterwards. See Primary grades, aggregates & divisions.
  5. On the Policies tab, flip the toggle switches for any defaults you want changed (receipt requirements, admission fee, etc.). If you run a nursery, the Nursery full / half day program split toggle lives here. It is off by default, and is finance-only:

    • Off — nursery is billed as a single group. You configure one Nursery fee structure and every nursery student bills to it. No program is asked for when admitting or enrolling.
    • On — each nursery student is tagged with a program (Full Day or Half Day), required when admitting/enrolling. Billing routes to the matching Full Nursery / Half Nursery fee structure, and any nursery student missing a program is flagged under the notification bell. Academically nursery stays one department either way — the program is only a billing tag.
  6. On the Parent Portal tab, the Parent portal toggle controls whether guardians of your active students can sign in to the portal at /portal. It is off by default. When on, a guardian signs in with a one-time code sent by SMS or email to the contact on the student's record; when off, no login codes are sent for your school. See Parent/guardian portal basics.

  7. With the portal on, an optional Block portal features over fee arrears policy appears beneath the toggle. When enabled, guardians of students who fail the fee threshold lose the results, attendance and medical tabs in the portal until the balance recovers — the Fees and Profile tabs always stay open so they can see and clear the debt. Pick a threshold type:

    • Clearance percentage — blocks while the paid share of the running term's invoices (after waivers) is below the percentage you set.
    • Outstanding debt amount — blocks while the student's total accrued debt across terms exceeds the amount you set.

    You can also restrict an individual student for any other reason from Students → (student) → Parent portal access, with an optional reason shown to the guardian.

  8. Still on the Parent Portal tab, the Student documents card sets the document checklist parents fill in for each child (birth certificate, immunization card, and so on). A sensible default set is created for you the first time you open it; use Add, the edit pencil and the delete button to tailor it. Mark a type Required to have it count toward a child's profile completion, or clear Active to hide it without losing files already uploaded under it.

You can come back to Settings any time — most fields are editable, but some changes (like renaming class levels mid-term) affect existing data, so make those decisions before students are enrolled if you can.
